When does it pay to outsource your printing?

Despite our increased awareness for green issues, every organisation requires a hard copy from time to time. But is it always cost-effective to produce all of your printing in-house?

 


Outsourcing print work certainly holds the potential to make considerable savings without the need for upfront investment but much depends on the jobs you wish to prepare.

So this month we highlight the factors that should be considered when choosing between in-house and outsourced printing.

Advantages of outsourcing printing
 

Versatility
An outsourced printer can produce exactly what you require in terms of paper type, paper size, paper quality and document format (booklets, leaflets, folders, posters etc.) Internally, you will be confined to the limitations of your own device(s).

Quality
An outsourced printer will generally be able to offer much higher quality printing if required as well as a range of finishes.

Borderless
If you need borderless printing this should pose no problem for an outsourced printer.

No upfront and associated costs
You will have no initial costs, just an agreed upfront price. You can let somebody else worry about consumables and paper costs.

Support
You will have no support cost.


Disadvantages of outsourcing printing
 

Longer lead times
With the exception of very large runs, in-house production will generally produce your printing more quickly.

Minimal saving on small runs
Printing is heavily discounted by volume so shorter runs do not always present the same cost saving opportunities.

Collection costs
There are often hidden costs associated with collection or delivery of printing.

Confidentiality
It may not always be appropriate to outsource the printing of sensitive material.

Example:

A client recently requested that we compare the cost of internal production (using an HP printer) of their corporate marketing material (multi-page full colour A4 document) with the cost of giving this job to a local printing specialist. The results were clear. Even with runs as low as 300 pages the cost saving for outsourcing was around 50%. Greater savings still could be achieved with higher volumes.

Conclusion

Where volume, quality or both are required outsourced printing generally excels. Marketing literature, letterheads and standardised forms are all good examples of printing which would certainly benefit from some outside help.

Assuming that the disadvantages of outsourced printing are not prohibitive to your project, this method can prove to be a great cost-saving measure.
