Sage 50 shortcuts - working with function keys

With a large batch of invoices to log into Sage, you're juggling your mouse, your calculator and the large pile of paperwork in front of you. Feel like you need an extra set of hands?

 
 

If the scenario described above sounds all too familiar, you may be glad to learn of the following function key shortcuts in Sage. If you're not responsible for the book-keeping within your organisation why not forward this article to your colleagues in accounts?
 

 

Imagine you're entering a batch of customer invoices. Before posting the first invoice, you need to check your emails for the correct description of the product sold. So press F11 to switch to Outlook (you will already have configured F11 to perform that function). Next you need to call up the calculator to verify the price is correct - just press F2.

Once you have entered the price, you might select F5 to display the currency calculator and check the equivalent of this foreign currency invoice in GBP. If you have a number of other invoices to post to the same customer, you can quickly duplicate any of the lines above the one you are currently posting by F6. Oops, you have jumped a number - just press F7 (where the line should have been) and a new one will be inserted. If you make a mistake on any line you can select F8 and it magically disappears.

All that and you never once had to reach for your mouse...

F1

Help

F2

Calculator

F3

Displays the line item window on the invoice posting screen

F4

Displays calendar, calculator, search list or drop-down list depending on the field properties

F5

Displays the currency calculator on a numeric field and displays the spell checker on a text field

F6

Duplicates field above (particularly useful in posting screens)

SHIFT & F6

Duplicates and increments field above

F7

Inserts a row when in edit mode (useful in posting screens and also when editing the chart of accounts)

F8

Deletes a row when in edit mode (useful in posting screens and also when editing the chart of accounts)

F9

Calculate net value (from a gross value)

F11

This key can be set to run any Windows program. The default is to load the Windows control panel. To change to run another program click the Tools and Options menus in Sage and the click the environment tab, enter the path and program name

F12

This key can be set to run any Windows program. The default is to run the report designer. (Same procedure as above to change)
